A self-employed driver produces more documents than they realise. Most of it sits inside state systems and is never looked at until the day somebody asks for proof. This page is the inventory: what exists, where it is, and how to get it out.
What builds up over a year
- Faturas-recibo, the green receipts. One for every payment the fleet makes you. Paid weekly, that is more than fifty a year. How to issue them without mistakes.
- Quarterly Social Security declarations. Four a year, in January, April, July and October. The quarterly rhythm.
- Proof of contribution payments, one a month whenever there is a contribution due.
- The annual IRS return, with the annex for category B income.
- Proof of activity registration, issued once when you registered. How that works.
- Your written contract with the fleet. Keep this one yourself: it is the only document here the state does not hold for you.
- Your driver certificate and the date it expires. Renewing in time.
Where each thing lives
Receipts and the IRS return sit in the Portal das Finanças. The quarterly declarations and your contribution history sit in Segurança Social Direta. The driver certificate sits with the IMT. The contract sits with you, and nobody keeps a copy on your behalf.
How to download everything
In the Portal das Finanças, in the invoices and green receipts area, you can view every document you have issued and download it. In Segurança Social Direta you will find the declarations you submitted and your contribution history.
Do this once a year rather than on the day you need it. Keep a folder per year with the receipts numbered. Twenty minutes in January saves a weekend later.
Why this matters more than it looks
While you are driving, these documents feel like bureaucracy. They stop feeling that way the day somebody asks for proof of what you earned or what you contributed: a bank, a landlord, a process of your own. The complete set is easy to maintain month by month and hard to rebuild years later.
A missing receipt does not quietly disappear. It stays as a hole in the year where it should have been.
The most common holes
- Months with no work. The quarterly declaration is filed even when there was no income. You declare zero.
- Receipts issued late. The deadline runs from the payment, not from the end of the month.
- Receipts without the fleet's NIF. Those cannot be cancelled. It is the mistake with no fix.
